This policy explains what personal data we collect through the website, why we use it, who we may disclose it to, how long we retain it, and what rights you have.

What data may we collect?

Depending on how you use the website, we may process the following categories of data:

  • Contact form: first and last name, email address, phone number, and the message you submit;
  • Request for a quotation: first and last name and phone number;
  • Contact form for designers: first and last name, phone number, email address, type of collaboration, project or collaboration description, and any files you choose to attach;
  • 3D sketch/design request: first and last name, phone number, email address, type of furniture, requested service, and project description;
  • Subsequent communications: information you provide by email, phone, WhatsApp, Facebook Messenger, or Viber in connection with your request;
  • Contract details:if your request results in an order, the information required for the quotation, contract, delivery, invoicing, warranty, and handling of any complaints;
  • Technical and security data: IP address, date and time of access, requested pages, browser and device type, error information, and attempted unauthorized access;
  • Cookie and website usage data: your cookie preferences and, only under the conditions explained in the Cookies section, statistical and advertising data.

We do not request payment details, dates of birth, or sensitive personal data through our forms. Please do not include any information in your messages or files that is not necessary for your request.

Purposes and grounds of processing

We use your data only for specified purposes and on an appropriate legal basis:

Where processing is based on consent, you may withdraw your consent at any time, without affecting the lawfulness of processing carried out before its withdrawal. ERGOLEMN does not currently use data submitted through the website forms to send unsolicited promotional communications. If this practice changes, individuals will be informed in advance and the appropriate legal basis will be used, including separate consent where required by law and a simple way to object or unsubscribe.

Is providing your data mandatory?

Providing data through the forms is voluntary. However, fields marked as mandatory are required so that we can identify your request and contact you. If you do not complete them, we may be unable to respond or prepare the requested quotation.

Who may we disclose your data to?

Access to the data is limited to the persons who need it for the purposes described above, particularly the director, sales representative, and technical website administrator, within the scope of their respective responsibilities.

We may use the following categories of service providers or recipients:

  • HOST.MD, for hosting the website and email service;
  • website maintenance, security, and technical optimization providers, where access is necessary and limited;
  • Google, for Google Analytics, Google Ads, Google Tag Manager, and Google Maps, under the conditions described in this policy and in the cookie preferences panel;
  • Meta/Instagram, WhatsApp, and Viber, when you choose to use the respective links or services to communicate with us;
  • service providers involved in fulfilling orders, delivery, accounting, or legal advice, only where necessary;
  • public authorities, courts, or other persons where disclosure is required by law or necessary for the establishment, exercise, or defence of legal claims.

We do not sell your personal data.

Service providers that process data on our behalf must use it only in accordance with our instructions and the applicable contractual obligations.

International transfers

The website and email service are hosted through HOST.MD. The use of international services such as Google, Meta/Instagram, WhatsApp, Viber, or technical optimization services may involve processing data outside the Republic of Moldova and, where applicable, outside the European Economic Area.

In such cases, the transfer must be based on mechanisms permitted by applicable law, such as an adequacy decision, standard contractual clauses, or other appropriate safeguards. You may request additional information about the relevant safeguards at info@mobila.md.

How long do we retain your data?

  • Requests submitted through the website forms, attached files, and related correspondence that do not result in a purchase are retained for a maximum of 12 months from the last communication.
  • If the request results in an order, the data required for the contract, delivery, invoicing, warranty, handling complaints, and protecting legal rights will be retained for the duration of the contractual relationship and subsequently for the periods required by accounting, tax, civil, or other applicable legislation.
  • Cookie preferences are currently retained for 30 days, after which the website may ask you to make your choice again.
  • Statistical and advertising data are retained for the periods indicated for each cookie in the “Cookie Preferences” panel.
  • Technical and security logs are retained only for as long as necessary to operate and protect the website, investigate incidents, and defend legal rights. They are then deleted or anonymized, unless the law or an incident justifies retaining them for a longer period.

When these periods expire, the data is deleted, anonymized, or retained only where required by law or where there is a justified need to establish, exercise, or defend a legal claim.

Cookies, analytics, and advertising

  • essential cookies, required for the operation and security of the website and for storing your cookie preferences;
  • statistical cookies, including Google Analytics, only after the visitor makes the corresponding choice;
  • marketing cookies, including cookies associated with Google Ads, only after the Marketing category has been accepted.

You can accept, reject, or configure these categories using the banner displayed on your first visit. You can change your choice at any time using the floating “Cookie Preferences”. Essential cookies cannot be disabled through this panel because they are required for the consent mechanism and the services requested by the user.

Google Maps is used to display the showroom location. When the map loads, Google may receive your IP address and technical device information. If you do not wish to interact with the map, you can use the address displayed as text on the website.

Data security

We implement technical and organisational measures proportionate to the risks, including access restrictions, protection of accounts and devices, additional authentication where available, security updates, firewalls, and website backups.

No method of transmission or storage can completely eliminate risk. If an incident occurs, we will document it and notify the competent authority and affected individuals where required by law.

Your rights

Under Law No. 195/2024 and, where applicable, Regulation (EU) 2016/679, you may request:

  • confirmation as to whether or not we process your personal data and access to that data;
  • rectification of inaccurate data or completion of incomplete data;
  • erasure of data where the legal requirements are met;
  • restriction of processing;
  • receipt of your data in a structured and portable format where this right applies;
  • objection to processing based on legitimate interests and, at any time, to direct marketing;
  • withdrawal of consent for processing based on consent;
  • information about the safeguards used for international transfers;
  • lodging a complaint with the National Centre for Personal Data Protection of the Republic of Moldova and, where applicable, with the competent supervisory authority in the European Union.

We do not use data collected through the forms for solely automated decision-making that produces legal effects or similarly significantly affects you.

How to exercise your rights

We may request additional information strictly necessary to verify your identity so that your data is not disclosed to an unauthorised person. Requests are generally handled within one month of receipt. Where the law permits an extension due to the complexity or number of requests, we will inform you within the initial period and explain the reasons.

Children's data

The website presents furniture and is not specifically intended for children. We do not knowingly collect children’s data through the forms. If you become aware that a child has submitted data without an appropriate legal basis, please contact us so that we can investigate and, where appropriate, delete it.

Changes to this policy

We may update this policy when the website, the service providers we use, our processing practices, or legal requirements change. The updated version will be published on this page together with the date of the latest revision.

If a change materially affects how we use your data, we will provide additional notice where required by law.
